Last updated: 30 Oct 2026
The Gut-Brain Dietitian (ABN 57 831 675 794) respects your privacy. This policy explains what personal information we collect, why we collect it, how we store and share it, and how you can access or correct it. We follow the Privacy Act 1988 (Cth), the Australian Privacy Principles and the Health Records Act 2001 (Vic).
What we collect
-
When you enquire: your name, contact details, preferred contact method, your message and any areas of interest you choose to tick. Some of this may be health information.
-
When you become a client: your date of birth, address, health history, symptoms, diet and lifestyle information, test results, information you track during a program (including wearable or device data you choose to share), referral and Medicare or health fund details, and payment details.
We only collect what we need to respond to you and provide your care. You can make a general enquiry without giving your full name, but we need to identify you to provide care or process Medicare claims.
How we collect it
Mostly directly from you, through our website forms, email, phone, intake forms and consultations. With your consent, we may also receive information from your GP, specialist or other health professionals.
Why we use it
-
To respond to your enquiry and arrange appointments
-
To assess your needs and provide nutrition care
-
To communicate with your GP or specialist, with your consent
-
To process payments, Medicare claims and health fund claims
-
To meet our legal and professional obligations
We don't sell your information or use it for marketing. We won't use your information for research unless you give separate, specific consent.
Who we share it with
-
Your GP, specialist or other health professionals involved in your care, with your consent
-
Medicare and private health funds, to process your claims
-
Service providers who help us run the practice, such as our website host, email provider and practice software, who must keep your information confidential
-
Others where the law requires or allows it, such as to lessen a serious threat to someone's life, health or safety
Storage and security
We store your information in secure, password-protected systems and limit access to people who need it. Website enquiries are stored by our website provider, Wix, whose servers may be located outside Australia, including in the United States. Clinical records are kept in Halaxy, a secure practice management system that stores data in Australia, encrypted and protected by two-factor authentication. Payments are made by bank transfer against our invoice or by card payments processed by Halaxy's payment provider. We never see or store your full card details. We keep health records for as long as the law requires, generally at least 7 years after your last appointment, or until age 25 for clients under 18. After that, we securely destroy or de-identify them.
Accessing or correcting your information
You can ask to see the information we hold about you, or ask us to correct it, by emailing info@gutbraindiet.com.au. We'll respond within 30 days. We may need to confirm your identity first. If we can't give you access, we'll explain why in writing.
